Adult Baseball’s Tournament Week Still Runs on PDFs, Email and Borrowed Fields

National tournament week is exposing how much of adult baseball still runs by hand: a Las Vegas league can’t finish its schedule, free agents are matched through a public PDF, and rosters move by email and paper forms.

01 — The fields

Why can’t a Las Vegas league finish its fall schedule?

A Las Vegas league can’t finish its fall schedule until it knows which fields the national tournament leaves open. Roy Hobbs is matching free agents through a public PDF. NABA is collecting shirt sizes by list. The busiest stretch of the year is also the most manual.

Adult baseball’s national tournament window opens this weekend, and the published logistics show how much of it still runs by hand. A Las Vegas league says it can’t finish its schedule until it learns which fields will be free during NABA’s Oct. 19-25 event. Roy Hobbs matches free agents through a downloadable contact list. For league officers, the biggest problems this month are coordination problems, not baseball problems.

On Oct. 12, the Nevada Adult Baseball League posted that its schedule was set only through Oct. 18. The rest of the season will be finished “once we get confirmation of fields availability for October 25th.” The league said “it is unclear what fields will be available because we are having our World Series tournament here in Las Vegas from October 19th-25th.”

That window matches the NABA Las Vegas World Championship Series. NABA’s 50-and-over wood divisions play Oct. 19-24, and its 18-through-45 divisions play Oct. 22-25. Every team is guaranteed five games, so the tournament needs a lot of field time in one city in one week.

This is the hidden cost of hosting a national event.

The tournament brings players, hotel nights and attention to a market. It also takes the same fields the local league needs for its regular season. A local league that can’t publish its schedule more than a week ahead loses players’ trust, and it has trouble booking umpires.

02 — The free agents

How do adult tournaments match free agents?

Roy Hobbs does it with a document. The 2026 Roy Hobbs World Series free-agent list, dated “as of October 9,” is a public PDF organized by tournament week and age division. It lists each player’s name, birth year, positions, phone number, email address and home state. “Both player & team need to confirm pickup by emailing [email protected],” the list says.

The list also shows the bookkeeping the format leaves to people. Several players appear in more than one age division. One entry in the 75+ group is labeled “underage.” Week I of the Roy Hobbs World Series (Veterans 35+ and Masters 45+) starts Oct. 17 in Fort Myers, Florida, and later weeks run through Nov. 21. So the list has to stay current for five weeks.

A public PDF is the fastest way to post a list, but it can’t track who has been picked up, and it puts players’ personal phone numbers and emails on the open web.

Any league that runs a player pool has the same tradeoff. Teams and players need to be able to find each other, but the contact details don’t need to be public.

03 — The paperwork

What paperwork does NABA’s Las Vegas event still require?

The NABA tournament page reads like an operations manual. Managers who want a spot without paying yet fill out a “Pencil My Team In” form. Managers in the 50W-70W divisions must collect shirt sizes for every rostered player and “put this into list form” to send to the national office. Mailed payments must be money orders or cashier’s checks. NABA also accepts cards, Zelle, PayPal and Venmo. Schedule requests were due five weeks, or 40 days, before the tournament.

NABA also places pool players. Individual players without a team pay $250 to be placed on an existing team or a Team USA roster. In the older divisions, “secondary players” can pay $50 to play a second daily game for Team USA, which plays in the 3 PM slot. NABA says it “cannot guarantee” a secondary player won’t be scheduled against their own primary team.

One detail is worth checking.

The page lists 50W-70W semifinals on “Friday, October 24,” but Oct. 24, 2026, is a Saturday, and the same page lists those divisions’ championships for Saturday, Oct. 24. Managers in those divisions should confirm the semifinal day with NABA before booking flights.

MSBL has moved at least one step online. Its World Series page links to a 2026 online waiver, hosted on Smartwaiver, that asks former professionals for their last year played and highest level. That’s the information MSBL’s division-by-division ex-pro rules depend on.

04 — The new leagues

Are new adult leagues still forming this fall?

Yes, at the local level. The Tallahassee NABA Baseball League, an 18+ league affiliated with NABA, opened its fall season Oct. 14. It has four teams playing seven weeks at Woodville Park, with a $150 early rate and a $180 late rate. The league’s site also advertises partnership and advertising opportunities with a sponsor contract.

Small leagues like this get started with a website, a registration fee and a sponsor sheet.

Their software needs are basic: a schedule, rosters, payments and a way to show sponsors to players. Those are the same needs the national events are handling with forms and email.

05 — The takeaways

What it means for league owners, officers, managers, players and sponsors

League owners and officers: If a national event comes to your market, ask the tournament and the field owners for its field allocation early, and plan your own schedule around it. Tell players when the rest of the schedule will be published.

Managers: Keep your own list of each player’s shirt size, payment status and ex-pro history. National events ask for all three, and some still want them sent in as a list.

Players: Before you join a public free-agent list, know that your phone number and email may be posted publicly. Confirm a pickup in writing with both the team and the tournament.

Sponsors: New local leagues are selling sponsorships from their first season. The ask is small, and the audience is the same adult players who travel to national events.

Software buyers: Ask vendors to show four workflows: field-conflict scheduling, private free-agent matching, eligibility records (age and ex-pro history), and team fees split among players. Those are the jobs tournament week still handles by hand.
